How to sync with Xero

This article will guide you through the process of connecting your Gusto Bill Pay with Xero.

This feature is only available on the Gusto Money Plus tier. Learn more here.

❗Important note:

  • If you manage multiple companies within the same accounting software, you can only connect to a single company.
  • Switching to a different company or changing accounting software is not supported.

If you choose to disconnect Gusto Bill Pay from your accounting software, you can only reconnect to the same software and company.

During your first connection, we scan your accounting software for existing vendors so we can avoid creating duplicates. If we find vendors with matching or similar details, we’ll ask you to confirm which ones should be linked together.

If you decide to skip linking any of the suggested vendors during this initial review, you’ll need to confirm that choice.

Please note that vendors you skip at this stage cannot be linked later, so make sure to review the matches carefully before continuing.

How to sync with Xero from your Gusto Bill Pay dashboard  

1 - In your Gusto Bill Pay dashboard, select the sync icon in the top right corner of the screen.

2 - Under Xero, select Connect.

3 - A pop-up window will appear, redirecting you to Xero. Allow access to proceed with the sync.

Note: If you have more than one Xero company, this screen will look a bit different:

4 - Press the Connect button.  

Note: If you have more than one Xero company:

  • You can sync with just one Xero company
  • Make sure to select the desired company to be connected to

5 - Wait for the connection to be completed. It might take some time. 

That’s it. You successfully synced Xero with your Gusto Bill Pay. 

How to sync with Xero from the Settings page

1 - From your Gusto Bill Pay dashboard, select Settings to access the settings page.

2 - Under the Company section, select Sync and import.

3 - Under Xero, select Connect.

4 - A pop-up window will appear, redirecting you to Xero. Allow access to proceed with the sync.

Note: If you have more than one Xero company, this screen will look a bit different:

5 - Press the Connect button.  

Note: If you have more than one Xero company:

  • You can sync with just one Xero company
  • Make sure to select the desired company to be connected to

6 - Wait for the connection to be completed. It might take some time. 

That’s it. You successfully synced Xero with your Gusto Bill Pay. 

How to sync with Xero from the Bills tab

1 - When on the Bills tab, select Import bills and then Connect accounting software.

2 - Choose Connect Xero in a pop-up window.

3 - A pop-up window will appear, redirecting you to Xero. Allow access to proceed with the sync.

Note: If you have more than one Xero company, this screen will look a bit different:

4 - Press the Connect button.  

Note: If you have more than one Xero company:

  • You can sync with just one Xero company
  • Make sure to select the desired company to be connected to

5 - Wait for the connection to be completed. It might take some time. 

That’s it. You successfully synced Xero with your Gusto Bill Pay account. 

Checking your sync

  • At the top right corner of the dashboard, you’ll see the sync icon indicating that you are connected to Xero successfully.
  • When you hover over it, you will see when the last sync happened.
  • Clicking this icon will manually sync the two accounts.
